Why document your systems?

To prevent breakdowns today in high risk areas that could cost multiple X more in the future

AI - an unclear and present danger

REALITY:

Business owners are not being informed that incorporating AI without first documenting systems is like handing the keys of your business to a brand new employee and telling them to figure it out with no playbook. AI will only amplify what's already there - good or bad. it will only scale the bad/chaos faster than humans can.

  • With clear, structured systems in place first, AI becomes a force multiplier that executes with speed and consistency you simply can’t get otherwise.

Second, AI by itself is not the biggest threat to your company.

  • Losing your company's unique identity is.
  • Team member's losing or questioning their judgement capabilities is.
  • Substituting team collaboration for "the machines" method is.

Consider this:
AI gives answers.
It can suggest workflows, best practices and solutions.  But who's?

A key employee suddenly leaves.

REALITY:

When a key employee leaves after being with you for many years, here's what could leave with them:

  • detailed knowledge of how things are really done in their position
  • key knowledge of customers and how best to serve their needs
  • their ability to quickly, efficiently and effectively resolve problems
  • their ability to confidently, competently and quickly make decisions
  • their internal capital - how much the team relies on their knowledge and support
  • their ability to train new employees
  • your deep trust in them to execute without requiring your time and input
  • their direct or indirect impact on growth
  • their impact on smooth running operations

Documented systems ensures work flows will continue to be predictable and consistent even when key people are gone.

In some cases, one person may be the only one who knows how to perform their role. Capturing as much of this knowledge capital now will bring incalculable relief when that key team member departs.

Customer repeat business is trending down

REALITY:

The company is experiencing inconsistent product quality, poor customer interactions, unreliable delivery,  more complaints and a weaker reputation.  And if you have a retail business - a greater number of less than 5 star ratings on social media.

Companies with well‑documented processes that are continually monitored for weaknesses & further improvement see 10–30% higher customer retention and 25–40% greater lifetime value.

The owner is frequently pulled into daily operations.

REALITY:

You have become far more of an employee, instead of the chief growth leader of your company.

Your company is suffering in several areas because you don't have the time to focus on leading it.

Documenting then delegating processes and SOPs that don't align with your role is a must if you want to free up time to focus on running and growing your company.

And this is not a minor difference for you — I'm talking real time freed from operations every week, and stepping away for even 30 days to rest or focus on other priorities without concern your operation will experience any major hiccups without you present.

Operations are not producing consistent outcomes.

REALITY:

The company is not performing consistently or reliably, negatively impacting quality and revenue

Improving consistency requires improving efficiency. Documenting every step of your processes & SOPs will absolutely move you in the direction to resolving this.

You want to scale....or sell the company.

REALITY:

You want to scale but you don't have the foundation or structure in place to do so.

If cannot scale if you don't first document your processes & procedures. No wiggle room for compromise here.

If you want to maximize value for your company, documenting company systems is an absolute must do.

Comparing documenting company systems to insurance

You likely have insurance for your business, perhaps far more than you want.

Insurance for your business and documenting processes & SOPs have one major component in common - they both serve to reduce risk. However...

Insurance cannot make your company money.

Documented processes absolutely can, and will when done right.

Insurance reacts to disaster.

Documented processes reduce the possibility of disaster.

Insurance only pays when something bad happens.

Documented processes pays dividends every day they are used.

Insurance is an expense.

Documented processes are an asset.

Insurance scales in more and more payments.

Documented processes establishes the foundation to scale for growth.

Insurance doesn't increase company value

Documented processes can increase company value in multiples because buyers know they don't need to depend on the company's memory.

So if we value the need of insurance, why not have the same mindset about documenting your systems?

If you still haven't documented your processes & SOPs, here's a proposal:

Invest in what may equate to a monthly insurance premium.

My Process Documentation Pilot is a hands-on documenting engagement that provides you with everything you need to document your processes and SOPs properly - all you need in 1 session.
